TaxOlia respects the privacy of your personal data. This policy explains what data we collect through taxolia-romania.com, why we collect it, how long we keep it, and what rights you have in relation to it.

This document is drafted in accordance with Regulation (EU) 2016/679 on the protection of natural persons with regard to the processing of personal data (GDPR) and with Romanian Law no. 190/2018 implementing it.

2. What data we collect

2.1. Data you provide directly

When you complete the contact form on our site or write to us by email, we collect:

  • your first and last name
  • your email address
  • your phone number (if provided)
  • the name of the company you represent (if provided)
  • the content of your message and any information you choose to include in it

Please do not include confidential, financial or sensitive documents in your initial enquiry. We will agree a secure transmission channel with you before any engagement begins.

2.2. Data collected automatically

When you visit the site, certain technical information is collected automatically:

  • IP address (anonymised where possible)
  • browser type and version
  • operating system
  • pages visited, time of access and duration of visit
  • referring website

This data is collected through cookies and similar technologies. Full details are set out in our Cookie Policy, available [INSERT LINK once Complianz has generated it].

2.3. Data received in the course of a contractual engagement

If we become your service provider, we will process additional data necessary for the performance of the contract: tax identification details, financial and accounting information, supporting documents, as well as data relating to your legal representatives or employees, to the extent this is transmitted to us.

For much of this processing we act as a processor on your behalf, under a separate agreement concluded in accordance with Article 28 GDPR.

3. Why we process this data, and on what legal basis

We do not process data for purposes other than those listed above. Should a new purpose become necessary, we will inform you in advance and, where applicable, request your consent.

4. Who else has access to your data

We do not sell or trade your personal data. We may, however, share it with the following categories of recipients, strictly to the extent necessary:

  • Our web hosting provider — Hostinger, which stores the website and its database
  • Email service providers — for sending and receiving correspondence
  • Our own accountant and auditor — for our internal financial records
  • Legal advisers — where necessary to establish or defend a legal claim
  • Public authorities — the Romanian tax authority (ANAF), courts, and inspection bodies — where we are legally required to provide information

All providers we work with are selected so as to offer sufficient guarantees regarding data security, and have concluded processing agreements with us under Article 28 GDPR.

5. Transfers outside the European Economic Area

Your data is stored and processed within the European Union. We do not carry out transfers to third countries.

6. How long we keep your data

  • Contact form enquiries that do not result in an engagement: no more than 12 months from the last communication
  • Documents and correspondence relating to a contract: for the duration of the contract and thereafter, for the period required by applicable accounting and tax legislation
  • Supporting accounting documents: in accordance with the retention periods set out in Romanian Accounting Law no. 82/1991, as amended
  • Data collected via cookies: for the periods indicated in the Cookie Policy
  • Data processed on the basis of your consent (newsletter, commercial communications): until consent is withdrawn

Once these periods expire, the data is deleted or irreversibly anonymised.

Note to you, delete before publishing: same point as in the Romanian version — replace the general wording with exact retention periods by document category.

7. Your rights

As a data subject, you have the following rights:

Right of access — you may ask us to confirm whether we process data about you, and to provide a copy of it.

Right to rectification — you may ask us to correct inaccurate data or complete incomplete data.

Right to erasure — you may request deletion of your data in the circumstances set out in Article 17 GDPR. This right does not apply where we are legally required to retain certain documents.

Right to restriction of processing — you may request that processing be limited, in the cases set out in Article 18 GDPR.

Right to data portability — you may receive the data you have provided in a structured, commonly used and machine-readable format.

Right to object — you may object to processing based on our legitimate interest, on grounds relating to your particular situation.

Right to withdraw consent — where processing is based on consent, you may withdraw it at any time, without affecting the lawfulness of processing carried out before withdrawal.

Right not to be subject to automated decision-making — we do not use automated decision-making and do not carry out profiling.

How to exercise these rights

Write to us at office@taxolia.ro. We will respond within one month of receiving your request. This period may be extended by two further months for complex requests, in which case we will inform you of the extension and the reasons for it beforehand. Exercising your rights is free of charge, except in the case of manifestly unfounded or excessive requests.

Right to lodge a complaint

If you consider that we have infringed your rights, you may lodge a complaint with the Romanian National Supervisory Authority for Personal Data Processing (ANSPDCP):

You also have the right to bring proceedings before the competent courts.

8. Data security

We have implemented technical and organisational measures to protect data against unauthorised access, loss or disclosure: HTTPS encryption across the entire site, restricted access to the administration panel, regular software updates, backups, and contractual confidentiality obligations for everyone with access to data.

Please note that transmission of information over the internet cannot be guaranteed to be entirely secure. For confidential documents, we will agree a secure channel with you.

9. Is providing your data mandatory?

No. You are under no legal or contractual obligation to provide us with data. However, if you choose not to complete the fields marked as mandatory in the contact form, we will not be able to respond to your enquiry. Similarly, within a contractual engagement, the absence of certain documents may prevent us from providing the agreed services or from meeting our own legal obligations.

10. Minors

Our website and services are addressed exclusively to legal entities and professionals. We do not knowingly collect data relating to persons under 16. Should we become aware of such a situation, we will delete the data without delay.

11. Changes to this policy

We may update this policy to reflect legislative changes or changes in how the website operates. The version in force is always the one published on this page, and the date of the last update is shown at the top. In the event of substantial changes, we will inform you through a visible notice on the site.
